Adding a New Associate


To add an associate:

  1. Click Administrative > Associates. The Associates window will appear with a list of current associates.
  2. Click the Add button. The New Associate window will appear with the General tab selected.

     

    Fields and options on the General tab include:

    Inactive Whether this associate record is active.  Note you cannot delete associates, but you can mark them inactive to hide them.
    ID The Edge ID number for this associate.  This is set on the initial Add and cannot be changed thereafter.
    First Name The associate’s first name.
    Last Name The associate’s last name.
    Email The associate's email; depending on System Options, this can be used by the software to send the associate notifications about appointments, associate tasks, multi-store transfers, and more.
    Cell Phone The associate’s cell phone number; this will be used for text message notifications.
    Password / Repeat The associate’s password; required for access to certain password-protected functions.
    Store Role The associate's position.  This list can be modified via Administrative > Lists.  See Adding Store Roles for more information.
    Initials Color When the associate's initials are displayed in the software, such as on Notes, they will appear in a circle of this color.
    Appraiser Details If applicable, the associate’s appraiser certification information.
    Is a Jeweler Indicates whether the associate is a jeweler who can make repairs.
    Is an Appraiser Indicates whether the associate is an appraiser.
    Name as Printed If Is an Appraiser is checked, the associate’s name as it should appear on appraisals.
    Credentials/Title If Is an Appraiser is checked, credentials to be printed on the appraisal document.
    Yearly PTO Hours For use with the Schedule feature, defines the amount of paid time off available for this associate annually.
    Yearly Sick Hours For use with the Schedule feature, defines the amount of sick time available for this associate annually.
    Holidays Check this to include holidays as hours worked.  Holidays are defined in the Schedule feature.
    Receive Transfer Notifications For multi-stores, selecting stores here will notify this associate via email when the selected store(s) are involved in transferring or requesting an item.
    Receive Blind Count Notifications For multi-stores, selecting stores here will notify this associate via email when a blind count fails at the selected store(s).
    Primary Store For multi-stores, define the primary store for this associate.
  3. Complete the General tab as desired. The required fields are ID, First Name, Last Name, and Password.
  4. Click the Commission tab and set the commission structure for this associate.  Note that a commission must be entered, even if it is 0.  See Associate Commissions for more information.
  5. Click the Security tab and set the permissions for this associate.  This defines what the associate can and cannot do.  See Associate Security for more information.
  6. Optionally, click the Goals tab and create goals for this associate.  See Associate Goals for more information.
  7. Click one of the Save options on the Record Navigation Bar at the bottom.
